Corporate Holiday Party Checklist: What to Book Now Before Dates Are Gone
Share :
If you're in charge of this year's holiday party and it isn't booked yet, now is the time to move. Most companies book their corporate holiday party three to four months ahead, so by November, December availability is already narrowing. The most popular Thursday and Friday nights are usually the first to go.
The good news is that there's still time to find a date that works. This corporate holiday party checklist covers what to book right now, what can wait a few weeks and how to keep the whole process simple.
Why December Dates Fill So Quickly
Nearly every company wants the same few weeks: the first three weeks of December, before people head out for the holidays. That puts a lot of pressure on a short list of dates, and not just at venues. Caterers, DJs, AV companies and rental suppliers are all working from the same busy calendar.
Waiting until late November often means picking from whatever's left. Booking now means you still get to choose.
Your Corporate Holiday Party Checklist
Book Now, Before Your Date Is Gone
These are the pieces with the most competition, so lock them in first.
Your venue and date. Everything else depends on this, so start here. Have two or three dates in mind, and consider a weeknight if Fridays are already full. You don't need a final headcount to get a quote, just a ballpark number.
Catering. Good food is what guests remember most. Decide whether you'd like a plated dinner, a buffet or a cocktail-style evening, and ask early about vegetarian, gluten-free and allergy-friendly options.
Bar service. Think about whether you'll offer an open bar, drink tickets or a cash bar, and make sure trained, licensed bartenders are part of the plan.
AV and lighting. If there's a speech from leadership, an awards presentation or a year-in-review slideshow, you need a microphone, screen and sound that work the first time. Lighting sets the mood for the whole night.
Entertainment. DJs and live bands are in high demand every December. If music or dancing is part of your night, reserve them now.
Confirm by the End of November
Once the big pieces are booked, these details can come together over the next few weeks.
- Guest list and invitations. Send a save-the-date right away, then formal invites with an RSVP deadline.
- Menu and dietary needs. Collect dietary restrictions with your RSVPs so the kitchen has time to plan.
- Décor and theme. Decide on the feel of the night: elegant and formal, festive and relaxed, or somewhere in between.
- Run of the night. Map out timing for arrivals, dinner, speeches, awards and dancing.
Finalize in December
These can wait until closer to the date.
- Final headcount
- Seating plan and table assignments
- Awards, gifts or door prizes
- Parking and arrival details for guests
Hosting family or friends instead? The same checklist applies. Book your venue and catering first, then fill in the details. Our team hosts family dinners, milestone birthdays and holiday get-togethers all season long.
The Simpler Way: One All-Inclusive Venue
Take another look at that "book now" list. For many hosts, it means juggling several vendors, several contracts and a lot of emails during the busiest month of the year.
An all-inclusive event venue turns most of that list into a single booking. Here's how it works at Winona Vine Estates:
- The space. Our 11-acre private estate includes an 18,000 square foot facility and a ballroom for more than 500 guests, so it suits an intimate team dinner or a company-wide celebration.
- Chef-led catering. Our kitchen prepares everything on-site, from plated dinners to buffets, with vegetarian, gluten-free and allergen-friendly options.
- Bar service. Included as part of your event, so there's no separate vendor to book.
- AV and lighting. Built in and run by our staff, so speeches, awards and slideshows go smoothly.
- Décor. Seasonal styling options that set a festive, elegant tone without hiring a decorator.
- One point of contact. One team plans the night with you and is there when it happens.
We're also just minutes from the QEW in the Golden Horseshoe, with fully paved and lit parking, which makes a December evening easy for everyone. From holiday parties to galas, see more of the corporate events we host year-round.
Don't Wait for the Snow to Book Your Holiday Party
December dates are filling, just like they do every year. If your corporate holiday party isn't booked yet, the most important thing on your checklist this week is locking in your date. Everything else can follow.
We'd love to help you plan a night your team will be talking about well into the new year. Request a quote to check availability for your dates, or reach out to our team to arrange a visit. We can't wait to celebrate with you.
